Full-Time | In Person | Vero Beach, Florida

Pay: $40,000.00 – $49,000.00 per year

Job description:

We are looking for a responsible Legal Assistant to perform a variety of administrative and clerical tasks. Duties of the Legal Assistant include providing support to our Attorneys and Paralegals, assisting in daily office needs. Legal Assistant responsibilities include preparing reports communicating with clients, other attorneys, and the Court, drafting Court documents, coordinating schedules and appointments, and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Legal Assistant should ensure the efficient and smooth day-to-day operation of our office.

Communication

  • Communicating with clients and other parties involved in legal matters i.e.: opposing counsel and their staff; judicial assistants; witnesses, etc.

Calendaring/Scheduling.

  • Manage and organize attorney calendar/schedule effectively.
  • Answering phone calls, setting up appointments with clients and any relevant parties.
  • Offering general administrative support and maintaining their calendar.
  • Scheduling some court dates, depositions, mediations as directed by paralegal/attorney

Legal support

  • Learning and understanding legal concepts, terminology, and principles is crucial in helping with document preparation and case management.
  • Organizational and administrative tasks toward day-to-day file management both paper and electronic
  • Preparing documents necessary for certain proceedings
  • Drafting and proofreading documents and correspondence
  • Collecting and organizing evidence and legal documents for the Attorney to review under paralegal supervision


Skills

  • Proven experience as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Strong computer skills (MS Excel and MS Outlook, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
